Freight invoice audit in NetSuite, matched to contract before the vendor bill posts

Every carrier invoice is checked line by line against the rate Freightgate applied at booking, then held or approved before it becomes a NetSuite vendor bill.

Most freight invoices get paid first and reconciled later, if they get reconciled at all. The vendor bill is entered in NetSuite from whatever the carrier sent, and the comparison against the contract happens weeks later in a spreadsheet, one variance at a time. Freightgate's NetSuite TMS integration moves the audit in front of the bill: the invoice is matched to the applied rate on the order, and only charges that match reach approval.

The gap

An invoice reconciled after payment is money you are trying to get back.

The carrier invoice arrives by email or EDI. Accounts payable keys it into NetSuite as a vendor bill against the PO, approves it on the estimate, and pays on terms. The overbilled accessorial, the fuel surcharge at the wrong percentage, the chassis fee nobody agreed to: each one clears on its own, and the audit, when it happens, is a recovery project.

Across a year of shipments that is not a bookkeeping problem. It is freight spend that does not follow the contract you negotiated.

Capabilities

What pre-audit changes inside NetSuite.

Matched to the rate applied at booking

The contract rate Freightgate applied on the order is the rate the invoice is checked against, line by line, before the vendor bill is created. Billed and agreed are compared on the same record.

Accessorials validated against your rules

Fuel, congestion, chassis, demurrage, and other accessorial charges are checked against the rules you set, so only the surcharges you agreed to clear.

Variances held, not paid

A line that does not match is held for review with the contract rate shown alongside it. The vendor bill is not approved on a number that breaks the rules.

Dispute workflow with the evidence attached

Held variances route to the owner who can resolve them, with the contract evidence attached, so disputes are settled on the record rather than in an email thread.

Accruals and GL coding ready for NetSuite

Approved charges are coded to the account and cost center and posted as accruals against the right period, so finance closes on numbers that already match the contract.

How it works

From invoice received to vendor bill approved.

1

Invoice received

Carrier and forwarder invoices arrive by EDI, API, or upload and land in one audit queue.

2

Matched to the applied rate

Each line is checked against the contract rate on the order and your accessorial rules.

3

Variances held

Anything that does not line up is held with the contract rate alongside it. Matched lines move on.

4

Vendor bill approved

Only matched charges become the NetSuite vendor bill, coded for the GL. Exceptions wait for a person.

5

Spend reconciled to contract

The landed cost applied at PO creation and the bill that was paid agree on the same record.

Questions

What NetSuite finance teams ask first.

Does NetSuite audit freight invoices on its own?

NetSuite matches a vendor bill to a purchase order and a receipt. It does not know what the contract rate for that lane was, or whether the accessorial on the invoice was ever agreed. Freightgate supplies the applied rate and the rules, so the match becomes a check against the contract rather than against the estimate.

What is checked on each invoice?

Every line: the base rate, fuel and other surcharges, and accessorial charges, each against the contract rate applied on the order and the accessorial rules you set.

What happens when a line does not match?

The variance is held for review with the contract rate shown alongside it and routed to the owner who can resolve it. The vendor bill is not approved until the variance is cleared or confirmed.

How does this connect to the rate on the order?

The same contract rate Freightgate applied against the sales order or purchase order at booking carries through to the audit, so the invoice is matched against the rate that was actually agreed, not a rate someone looked up later.

Can finance still approve exceptions manually?

Yes. Matched invoices move through without touching anyone. Only the exceptions ask for a human, and they arrive with the contract evidence attached.

How do approved charges reach the general ledger?

Approved charges are coded to the account and cost center and posted as accruals, so the period closes on numbers that already match the contract.

How do invoices get into the audit queue?

Through the same EDI, API, and web service connections Freightgate already uses with carriers and forwarders, or by upload. Two decades of integrations mean most carriers send invoices straight in.

Is this a validated SuiteApp?

Yes. Freightgate is a Built for NetSuite validated hybrid SuiteApp.
